Who you are contracting with

HotelWorkload is a service operated by Aaron Whitfield, a sole trader trading as HotelWorkload (“we”, “us”). These terms are an agreement between you and Aaron Whitfield. By creating an account or using the calculators you accept them; if you are using the service for an employer, you confirm you have authority to accept on their behalf.

What the service is

HotelWorkload provides housekeeping and laundry planning calculators, plus an optional account that saves your properties, brand standards and daily boards. The calculators are decision-support tools. They do not employ anyone, do not set wages, and do not replace your own judgement, your collective agreements or your local labor law.

Accounts and acceptable use

You are responsible for your login and for the accuracy of what you enter. One account is for one person. Do not share credentials. You must not use the service unlawfully, for fraud or spam, to infringe anyone’s intellectual property, or to interfere with its security by probing, scraping, reverse engineering, uploading malware or circumventing plan limits. We may suspend or terminate access for material breach, non-payment, security or fraud risk, or repeated policy violations.

Intellectual property

Aaron Whitfield owns the service and everything in it: the software, the calculator logic and formulas, the written guides, the branding and the site design. You get a limited, non-exclusive, non-transferable right to use the service for your own hotel operations for as long as your plan is active. You may print and share the boards and checklists you generate inside your own business, but you may not resell, redistribute or white-label the service itself. You keep ownership of the data you enter; you grant us only the limited right to host and process it in order to provide the service.

Pro subscription and payment

• Pro is billed per property, monthly or annually, through Paddle.
• Free accounts include one saved property and three days of board history at no cost.
• Subscriptions renew automatically at the then-current price until cancelled. Cancel any time from the account page; access continues to the end of the paid period.
• You can pause a subscription instead of cancelling when a property closes for the season.
• Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Payment, billing, tax, cancellation and refund mechanics are therefore governed by Paddle’s Buyer Terms.
• Refunds are covered by our 30-day refund policy.

Accuracy and liability

Every output depends on the minutes, wages and occupancy you enter. We publish the formula behind each calculator so you can check it. The service is provided as is, without warranty that a staffing plan will match your actual day. To the extent the law allows, we are not liable for operational, staffing or financial decisions made using these tools, and our total liability is limited to the amount you paid us in the previous twelve months.

Changes

We may update these terms. Material changes will be announced by email to subscribers before they take effect. Continuing to use the service after that counts as acceptance.
