How to build a hotel housekeeping schedule
Most housekeeping rotas are last week’s rota with names moved around. That works until the departure pattern shifts, and then the same headcount is either idle or in overtime. This is a forecast-first method: size each day from its own room mix, then fit people to the shape.

Short answer
Step 1: get a forecast you can staff from
An occupancy percentage is not a staffing forecast. Ask revenue management or your PMS for the daily split you actually need:
- Expected departures (the expensive rooms).
- Expected stayovers, and the expected refusal rate against them.
- Suites and premium room types booked.
- Rooms flagged for deep clean or preventative maintenance.
- Group arrival and departure days, which distort everything around them.
If your PMS cannot produce this split, take the arrivals and departures report and derive stayovers as occupied minus arrivals.
Step 2: a worked seven-day example
A 180-room hotel, standard departure 30 minutes, stayover 20, suite 45, deep clean 75, and 405 productive minutes per attendant shift.
| Day | Dep | Stay | Suites | Room minutes | Attendants |
|---|---|---|---|---|---|
| Mon | 40 | 90 | 5 | 40×30 + 90×20 + 5×45 = 3,225 | 8 |
| Tue | 35 | 105 | 6 | 3,420 | 9 |
| Wed | 50 | 95 | 6 | 3,670 | 10 |
| Thu | 45 | 100 | 8 | 3,710 | 10 |
| Fri | 70 | 80 | 8 | 4,060 | 11 |
| Sat | 30 | 130 | 10 | 3,950 | 10 |
| Sun | 95 | 55 | 6 | 4,220 | 11 |
Occupancy barely moves across this week, but required attendants swing from 8 to 11 — a 37 percent difference driven almost entirely by departure share. Flat scheduling across this week either burns three attendant-days of idle wage or ends Sunday in overtime. Round-ups, buffer and support roles are handled automatically when you run each day through the staffing calculator.
Step 3: shift patterns and staggering
| Pattern | Fits | Watch for |
|---|---|---|
| Single 8-hour morning start | Properties with an early departure pattern | Late departures and same-day changes land as overtime |
| Staggered starts (e.g. 8am core + 10am partial) | Late checkout / early check-in overlap | Needs enough supervision on the later block |
| Split coverage with an evening turndown crew | Luxury and resort standards | Turndown minutes must be modelled separately |
| 4×10 compressed weeks | Stable demand and retention-focused properties | Less flexibility on a demand spike; harder buffer coverage |
Step 4: buffer, call-outs and the daily board
The weekly schedule is a capacity plan. The daily board is the plan that survives contact with reality: who is actually here, which rooms each person has, and when the floor is projected to finish.
- Keep the buffer explicit on the schedule so it can be released early on light days.
- Rebuild the board each morning with the real crew — a call-out changes finish time, not just headcount.
- Distribute suites and deep cleans across attendants so credit reflects real workload.
- Compare planned against actual hours the next day with the productivity calculator and correct the minutes you schedule with.
Saving each day’s board is what turns a schedule into a forecast that improves. That history is the main reason properties move from the free calculators to a saved property — see pricing.
Put this to work
Size all seven days before you post the rota
Run each forecast day through the planner and you get attendants, inspectors, housemen, hours, finish time and cost — then print the daily assignment board for the briefing.
Free to run, no account needed. An account keeps each property’s minutes, wages and daily boards so tomorrow’s plan starts from yesterday’s actuals.
