Acceptable use policy

This Acceptable Use Policy applies to everyone who uses www.hotelworkload.com and its tools, accounts and content (the Service), operated by Aaron Whitfield, sole proprietor, trading as HotelWorkload. It forms part of our Terms of Service, and the definitions there apply here. Breaching this policy is a material breach of the Terms.

You must not use the Service:

• for any unlawful purpose, or to facilitate, promote or conceal unlawful activity;
• to commit fraud, launder money, evade sanctions or taxes, or to make a payment with a card or account you are not authorised to use;
• to misrepresent your identity, your employer, or your affiliation with any hotel, brand or management company;
• to send spam, chain messages or unsolicited commercial communications through any contact route we provide;
• to harass, threaten, defame or discriminate against any person, including through notes you save on a board about a named employee.

The Service is designed for operational figures — room counts, minutes, wage rates, occupancy, notes about a shift. You must not enter:

• special-category or sensitive personal data about your staff, including health or medical information, disability status, union membership, religion, sexual orientation, biometric data, immigration status, or government identification numbers;
• payment card numbers, bank details or passwords;
• content you do not have the rights or permissions to submit;
• content that infringes a third party’s intellectual property, or a confidential brand standard you are not permitted to store off-premises;
• malicious code, or data intended to break, overflow or manipulate the calculators.

Where you enter personal data about your employees you act as the controller of that data and are responsible for having a lawful basis and for telling them. Keep employee identification to first names or initials wherever possible.

You must not:

• probe, scan, penetration test, fuzz or otherwise test the vulnerability of the Service or its infrastructure without our prior written permission;
• attempt to access another user’s account, data, saved properties or boards, or any part of the Service you are not authorised to reach;
• bypass, disable or interfere with authentication, entitlement checks, rate limits, plan limits, paywalls, security headers or robots directives;
• upload or transmit viruses, worms, or any code designed to disrupt, damage or gain unauthorised access;
• impose an unreasonable load on our infrastructure, including denial-of-service traffic or automated request floods;
• forge headers or otherwise manipulate identifiers to disguise the origin of anything you send.

If you discover a vulnerability, please report it privately to [email protected] before disclosing it. We will not pursue good-faith researchers who report promptly, avoid privacy violations and data destruction, and give us reasonable time to fix the issue.

You must not, without our prior written permission:

• crawl, scrape, spider, harvest or systematically download the calculators, guides, benchmarks or page copy, beyond ordinary search-engine indexing of our public pages;
• use the Service or its content to train, fine-tune, ground or evaluate a machine-learning or generative AI model, or to build a derived dataset;
• reverse-engineer, replicate or reimplement the calculator logic in another product, or use the Service to build or benchmark a competing tool;
• frame, mirror, republish or white-label any part of the Service, or present its outputs as your own product.

You may quote short excerpts of our public guides with attribution and a link to the source page. You may freely use, print and distribute inside your own organisation the boards, checklists and reports generated from your own inputs.

• One account per individual. Do not share logins or resell access.
• Pro is licensed per property. Do not run several properties through one Pro seat, rotate property records to avoid buying seats, or create multiple free accounts to exceed the free plan’s saved-property or board-history limits.
• Do not use trials, coupons, refunds or chargebacks abusively, including repeated refund-and-repurchase cycles to obtain continuous free access.
• Do not resell, sublicense or provide the Service as part of a consulting or agency deliverable without a written arrangement with us.

Report suspected abuse, infringement or a security issue to [email protected]. For a copyright complaint, include the work concerned, the URL of the material, your contact details, a statement that you have a good-faith belief the use is unauthorised, and a statement under penalty of perjury that your notice is accurate and that you are the rights holder or authorised to act for them. We will remove or disable infringing material and terminate repeat infringers.

Depending on severity, we may warn you, remove content, rate-limit or restrict features, suspend or terminate your account, refuse future service, or refer the matter to law enforcement. We may act immediately and without notice where there is a security, legal or fraud risk. Termination for breach of this policy does not entitle you to a refund of the current period.

We may update this policy as the Service changes; the revision date above shows when it last changed.
